vetverve gives each team a current view of the visit—what needs attention now, what has already happened, and what comes next.

The visit

Staying ahead starts with a visit that carries its history forward.

The visit in motion

Carry each visit forward from team to team.

Luna's sample appointment moves from reception to the care team, checkout, and follow-up. vetverve keeps the owner preference, clinical plan, charges, and stock details tied to that visit as responsibility changes.

The team

Once the visit carries forward, each role can work from a current view of the day.

Across the clinic

Give each team the view and controls for its part of the day

Reception plans the schedule and tracks each visit. Clinical staff chart findings and document care. Checkout reviews charges, while inventory and reports reflect the work already recorded.

SMS/email delivery, production payments, and vision transcription require provider setup

Clinic View

In the beta build

Track appointments from check-in through checkout

Dwell timers show elapsed time, allergy flags keep safety details visible, and staff can open the SOAP note from the board.

  • Dwell timers
  • Allergy flags
  • Start SOAP

Records

In the beta build

Choose how each veterinarian records SOAP notes

Type, dictate, or use clinic phrases. Staff can also upload handwritten pages and keep the source with the record; turning handwriting into editable text requires a vision provider.

Inbox

In the beta build

See owner messages with the relevant visit

Portal chat, SMS activity, and outbound email stay linked to the client, patient, and appointment. Live SMS and email delivery require configured providers.

Business operations

Use visit data for billing, stock, owner access, and reporting.

Billing

In the beta build

Build the invoice from reviewed visit charges

Use reviewed charges to create the invoice and track payment status and account balance. Payment processing runs in test mode in the current demo environment.

Inventory

In the beta build

Track stock by lot and expiration

Monitor low-stock items, record purchase orders and stocktakes, and track what the clinic dispenses.

Pet-owner portal

In the beta build

Let owners request appointments without self-booking

Owners can also message through a separate portal. Staff review requests and place them against real capacity.

Reports

In the beta build

Filter, print, and export practice reports

Review financial, appointment, patient, inventory, and staff data for a selected date range.

The plan

The schedule sets the conditions for everything that follows.

Before the visit

Schedule against real clinic capacity

Use staffed hours, per-vet availability, appointment lengths, and overlap rules to show real capacity before staff book or reschedule.

Email and SMS reminders require a configured delivery provider and scheduled reminder processing.

  • Review portal requests before booking

Staff choose a time within real clinic capacity; owner requests are not instant self-booking.

    In the beta build
  • Book recurring care and skip conflicts

Create the series in one pass. Appointments with conflicts are skipped and listed for review.

    In the beta build
  • Send reminders before the visit

Send week-ahead, confirmation, and day-of reminders after an email or SMS provider is configured.

    Requires provider setup
  • Show confirmations on the appointment board

After a delivery provider is configured, replies and confirmation links update the appointment status.

    Requires provider setup
The record

When the patient reaches the care team, the medical record becomes the center of the work.

During the visit

Support typed, dictated, and handwritten SOAP entry

Veterinarians can type, dictate in a supported browser, or write on a patient-specific SOAP sheet. The original uploaded pages remain with the record; turning handwriting into editable text requires a configured vision provider, and staff review the draft before applying it.

  • View prior chart details while typing

Problems, medications, vitals, and prior notes stay beside the draft while it autosaves.

    In the beta build
  • Use clinic-defined phrases and browser dictation

Edit inserted or dictated text before signing the note.

    In the beta build
  • Keep the handwritten source with the record

Print a patient-specific SOAP sheet, write by hand, then upload a photo or scan.

    In the beta build
  • Control what transcription adds to the chart

With a vision provider configured, every extracted field stays editable until someone reviews and applies it.

The rules

Finished care still needs dependable records, access, and clinic rules.

Rules and accountability

Keep clinic rules and record safeguards in force.

Practice roles control who can act. Signed SOAP notes become read-only with corrections recorded separately, and booking and rescheduling both enforce the clinic's selected overlap policy.

Record and scheduling controls

Rules enforced in the current beta build

Record integrity

Lock the SOAP body after signing

Corrections are added separately with the author, reason, and time instead of changing the signed note.

Accountable access

Control access with practice roles

Selected sensitive actions appear in a practice-scoped audit history.

Scheduling policy

Apply the same overlap policy when schedules change

Choose whether overlaps are allowed, permission-gated, or blocked. Booking and rescheduling both check that rule.

Beta participation

What selected clinics review before onboarding

  • Review configuration gaps before onboarding

The fit review covers clinic settings, required provider connections, and workflows the current beta cannot support.

  • Review scope and pricing before deciding

Selected beta clinics receive the applicable scope, pricing, and terms before deciding whether to onboard.

  • U.S.-based team

Product development and human customer support are both based in the United States.

The decision

With the current boundaries clear, decide whether the beta is worth evaluating.

Before you apply

Get the practical details before you apply

The first guided cohort is designed for independent, appointment-led companion-animal clinics. Review provider setup, migration boundaries, and how scope, pricing, and terms are confirmed.

Beta and fit

01Is this a self-serve trial?

No. Requesting access sends your clinic details for review. The first guided beta cohorts are intended for independent, appointment-led companion-animal practices with an owner or manager who can lead the evaluation. A request does not create an account, guarantee access, or reserve a launch date.

02Will we have to change how our clinic works?

Some setup or workflow changes may be needed. vetverve lets a practice configure roles, scheduling rules, phrases, forms, units, and typed, dictated, or handwritten SOAP entry. The fit review identifies workflows the current beta cannot support before onboarding.

03How does a handwritten SOAP note become digital?

Print a patient-specific SOAP sheet, write the note, and upload a photo or scan. The original stays with the record. With a vision provider configured, vetverve creates editable text for a staff member to compare with the original. The responsible clinician reviews the final note before signing it.

04What is in the beta build?

The current build includes staffed scheduling, Clinic View, patient charts and SOAP notes, estimates and invoices, receivables, inventory, reports, practice roles, and a separate pet-owner portal. The clinic and vetverve agree on the exact evaluation scope before onboarding.

Setup and terms

05What needs provider setup?

Live SMS and email delivery, scheduled reminders, production payments, and vision-assisted transcription need external providers or clinic configuration. Built-in client calling and call recording are still in development.

06Can you migrate our current records?

Client and patient spreadsheet imports are in the beta build. Any broader migration depends on the quality of the clinic export, validation, timing, and an agreed division of responsibility. Joining the beta waitlist does not include a promise of complete record migration.

07What will beta participation cost?

Private-beta pricing is still being finalized. Selected clinics receive the applicable scope, pricing, and terms before deciding whether to participate. Requesting access does not commit the clinic to a paid plan.

08Where are the product and support teams based?

The vetverve product team and human customer support are based in the United States.
